In-store referrals without changing your register

A staff-ready checklist for offer passes, paid claims and merchant verification.

Start with an offer staff can explain

Choose one clear customer benefit, eligible purchases, minimum spend and exclusions. Set valid locations, days and hours with the business timezone. A busy counter is not the place to discover unclear terms. The partner reward is separate from the customer benefit, and both must fit your own economics.

Share a link; show a pass

The partner shares a personalized offer link. The customer opens it and gets a checkout pass attributed to that partner, then shows the pass QR or code at the counter. No partner QR is needed. An optional printed promotional QR opens the same link. Neither opening a link nor scanning a pass proves payment; finance must verify the paid claim.

Prepare the counter

Assign location-scoped checkout staff and explain camera permission and code fallback. Internet access is required for the live pass check. Staff must inspect the offer and manually apply its benefit in the existing register: there is no POS integration or automatic register discount. Keep the customer’s payment in your usual payment system.

Record the right amount

After applying the customer benefit and taking payment, submit the eligible spend after discount, excluding tax and tips. Illustrative café calculation: $20 eligible spend × 5% = $1 partner reward. Do not calculate against a pre-discount total or include the tip. Attach a receipt where the workflow requires supporting evidence.

Keep verification separate

Staff submit the paid purchase claim; authorized finance verifies it. A customer may submit a receipt claim too, but it enters the same merchant review requirement. A scan, reservation or photo does not create a commission by itself. Train staff to describe pending review accurately instead of guaranteeing partner earnings at the counter.

Handle exceptions calmly

If the camera fails, enter the pass code. If the connection fails, the platform is not an offline register mode; follow your own customer-service policy without pretending a claim was saved. Review suspected duplicates and unusual amounts. If a customer later receives a refund, record it so rewards and any recovery remain accurate.

Close the loop with partners

After verification, commissions follow the configured hold and approval process. Pay externally when appropriate and record the real payment reference and date. Check offer activity against verified purchases: high scan activity can be useful, but it is not a revenue report or a guarantee that the campaign caused new sales.
